Requirements for Obtaining Pre-Authorized Visa or Consulate Stamp

Global Authorization

The IPhO 2009 Mexico Organizing Committee is processing Visas for ALL Delegation members (Leaders, students, observers and visitors) from countries that require Pre-Authorized Visas. Visas cannot be issued upon arrival to Mexico for countries requiring Pre-Authorized Visas (see lists below). We respectfully request that you DO NOT attempt to request authorization for your Visas to Mexico from your country of origin as this will duplicate the official process and cause unnecessary complications.

During the spring of 2009, the Mexican Migration Authorities will send a Global Authorization to all the Mexican Embassies and Consulates worldwide. Countries requiring a Pre-Authorized Visa will be notified by the IPhO2009 Organizing Committee as soon as this Global Authorization is sent to the Embassies and Consulates; at which time, you may document and receive your Visas at any Mexican Embassy or Consulate in the world.

Required Documents

  1. Valid passport with a minimum of six months prior to the expiration date must be presented by all Delegation members, including Observers and Visitors.
  2. Letter of Invitation sent by the IPhO2009 Organizing Committee must be presented. This should be a printed out of the original, and not a copy made from the original.
  3. Letter confirming your country's participation, addressed to Dr. Jose Luis Moran-Lopez, President of the Organizing Committee IPhO-40, and signed by your Delegation Leader, Minister of Education or President of your National Physical Society, stating that your Delegation agrees to abide by the IPhO2009 Official Regulations and the Laws of México, and assumes FULL responsibility for each and every member of the Delegation, and finally listing the NAMES (if possible) of each participating member of the Delegation, including Observers and Visitors, to receive Visas.
  4. Visa Fee (Pago de Derechos). Delegation Leaders must contact the Mexican Embassy or Consulate of his/her choice (see lists below) to notify that you will be documenting your visas with them; and inquire about the cost for the Visa Fee and the time they require to issue the Visas once payment has been made and the required documents have been presented. (Visa Documentation time can vary from 3 to 48 hours.)

It is necessary for every member of the Delegation to appear together before the Embassy authorities to receive Visas. Once the Visas are issued, they will be valid for 180 days, and without change.

Documenting your Visas before Travel

We advise you to consult with the Mexican Embassy or Consulate of your choice to verify the time they require to issue the visas, once the required documents have been submitted and payment of fees have been made; this can vary any where from 3 to 48 hours. Countries where México has no official representation can be found in nearby countries as concurrences, although you are NOT limited to receiving your Visas at those Embassies. We understand that for some countries this implies additional travel, however, this is UNAVOIDABLE, as Visas cannot be issued through mail.

Documenting your Visas in Route to México

As long as your country of origin does not require the México Visa in hand in order to receive your Transit Visa for travel, you may choose to document your Visas in route to México. Check with your local travel agency to inquire, and be sure to program your connecting flight to allow for enough time to get from the airport to the Consulate or Embassy, document, pay and receive your visas, and then return to the airport at least 3 hours prior to your departure. Consult with the Mexican Embassy or Consulate of your choice to verify the time required to document the visas and let the authorities know of your intention to document your Visas with them before traveling.
